What a US invoice should include
In the US there is no federal VAT — sales tax is set by state and often by city, and many freelancers and service businesses do not charge it at all. If you do, add it in the Tax % field so it is broken out on its own line. Include your business name and address, the client’s, a unique invoice number, the issue date, your payment terms (Net 30 is common), and how you’d like to be paid.
For the universal essentials, see the full invoice checklist, or read how to invoice a client end to end.
Frequently asked questions
Do I need to charge sales tax on a US invoice?
It depends on your state and what you sell — many services aren’t taxable, while goods usually are. If you’re registered to collect it, enter your rate in the Tax % field and it’s itemized automatically. When in doubt, check your state’s Department of Revenue.
Do I need an EIN on my invoice?
Not necessarily. Sole proprietors often invoice under their own name and SSN; an EIN is tidier and is required once you have employees. Either way, your legal name/business name, address, and a clear total are what matter most for getting paid.
