What to put on a caterer invoice

Caterers bill a deposit to book the date, then a final invoice once the headcount is locked. Price food per head, staff by the hour, and keep rentals and delivery on their own lines so the client sees how the total is built.

Example line items for caterer work:

  • Plated dinner (40 guests) — 40 @ $65
  • Service staff (3, 6 hrs) — 18 @ $35
  • Rentals + delivery — 1 @ $450

Every complete invoice also needs your details, the client’s, a unique invoice number, dates, and clear payment terms — see the full invoice checklist, or read how to invoice a client.

Frequently asked questions

How do I handle the final headcount?

Invoice a deposit on booking, then issue the final invoice once the guest count is confirmed (usually a week out). Price food per guest so the total updates cleanly with the headcount.

Should staffing be separate from food?

Yes. Per-head food, hourly service staff, and rentals/delivery as separate lines make the invoice easy to approve and show the client exactly what they’re paying for.
